When you register for or participate in the fib Symposium 2027, we may process the following categories of personal data, depending on the information and services you provide:

The first and last name as well as the company, institution, or organization information provided during registration may be printed on your name badge.
The name badge is used for identification, access control, and professional networking during the symposium.
Participants are responsible for ensuring that the information entered during registration is correct.
If you register for a discounted participation category, we may process information or documentation necessary to verify your eligibility, such as student status, age, or membership.
Such information is processed solely to verify eligibility for the applicable registration fee and will not be used for other purposes unless otherwise stated in this Privacy Notice or required by law.
Participants registering for the reduced registration fee for persons under 30 are required to provide proof of age. For this purpose, a copy or photograph of a valid ID card or passport must be uploaded during the registration process.
The document is processed solely to verify the participant’s age and eligibility for the reduced registration fee. The uploaded document is stored on a server operated by TUDIAS TU Dresden Institute of Advanced Studies GmbH in Germany. TUDIAS acts as a data processor for this processing. Access to the uploaded document is restricted to the authorized person responsible for age verification.
The document is reviewed manually and deleted manually after verification has been completed, and no later than seven days after receipt. No backup copies of the uploaded document are created.
Only the result of the eligibility check may be retained as part of the registration records. The uploaded identity document itself is not retained after the verification has been completed.
Photographs and video recordings will be taken during the fib Symposium 2027 for purposes including:
Due to the size and nature of the event, with potentially around 1,000 participants, it is not technically possible to ensure that no individual participant appears in any photograph or video recording taken during the event.
Participants are therefore informed before registration that photography and video recording will take place throughout the event.
Where photography or video recording is carried out for general event documentation, including photographs showing groups, audiences, speakers, exhibitors, networking situations, or other general event scenes, processing may be based on Art. 6(1)(f) GDPR, where the necessary balancing of interests has been carried out.
The legitimate interests pursued include documenting the symposium, reporting on the event, communicating its activities, and promoting the symposium and related activities.
If you do not wish to be photographed or recorded, you may inform the event photographer or the event team at the venue. We will take reasonable steps to respect your request and, where technically and organizationally possible, avoid identifiable recordings of you.
You may also object to the processing of photographs or video recordings based on legitimate interests in accordance with Art. 21 GDPR.
Please note, however, that due to the nature of event photography and the number of participants, it cannot be guaranteed that you will not appear incidentally in photographs or recordings, particularly in crowd, audience, or general event scenes.
Where an individual participant is intentionally photographed or recorded as the primary subject, for example for a portrait, interview, or specifically arranged recording, the participant will be informed separately and, where legally required, separate consent will be obtained.
Consent, where applicable, may be withdrawn at any time with effect for the future. The withdrawal of consent does not affect the lawfulness of processing carried out before the withdrawal.
Images and recordings that have already been lawfully published may remain available in printed materials, third-party publications, websites, social media, or other media after withdrawal. Complete removal from the internet cannot always be guaranteed.
